The Student Property Privacy Policy 

 

The Student Property respects the privacy of all applicants which includes our prospective tenants and guarantors. 

 

The Student Property is committed to protecting personal data and In this policy we set out how personal data is used, processed and protected. 

 

We receive personal data through the process of requesting this information directly from tenants and or their guarantors. The information we collect are that of Name, Email, Telephone Number, Address and Guarantor Name, Email Telephone Number and Address.

 

The purpose for the request of this information is to ensure at we can verify the legal requirements to rent to a particular tenant as well as assess the ability for a guarantor to provide guarantee for a particular tenant. We also use this information for the purpose of having the ability to communicate with the tenant and guarantors at any particular time throughout the tenancy.  

 

As part of our application process we may request copies of certain documentation such as passports (for the purpose of the legal requirement ‘Right To Rent’). We may also request to see proof of address such as a copy of a driving license or utility bill. 

 

As well as requesting personal data directly from the applicant we may also receive personal data directly through our own website for the purpose of booking viewings for our properties. This would only include a name, telephone and email address.

 

Information such as names, email addresses and telephone numbers are used only in connection with a proposed tenancy or for as and when a formal Assured Shorthold Tenancy Agreement has been put in place which is a legally binding contract. We may also use the above data in connection with our own internal marketing purposes such as existing promotions on available properties. 

 

We do not sell personal data to any third party in any circumstances. 

 

We do not share your data with 3rd Parties unless we have a legal obligation to do so or unless in connection with the intended or actual Assured Shorthold Tenancy Agreement put in place. Such as referencing partners such as Rent4Sure (www.rent4sure.co.uk) and Government Deposit Registration Schemes such as Deposit Protection Service (https://www.depositprotection.com/). 

 

This also could be but not be limited to include Local Councils, Utility Providers and Debt Collection Companies. All information we collect is stored on secured servers and/ or in our secure storage.

 

In order for us to undertake our duties to manage our properties and maintain them we may have to provide personal information such as names, emails and telephone numbers to staff or contractors of The Student Property, such as Gas Registered Engineers, Electrical Engineers, Property Maintenance Contractors, and Estate Agents who we may use for the purpose of Letting our properties and may need to obtain direct contact with our tenants. This requirement of passing on this information of our tenants will always be at the discretion of our tenants and will be requested in advance.

 

The Student Property will only keep information collected for as long as required and for the purpose of the tenancy
